The best quote follow-up tool for UK trades and small businesses: how to choose

Every tool in this category claims it will win you more of the work you have already quoted. The useful question is not which is “best” in the abstract — it is which one fits where your quotes already live, and whether you need software at all.

Start with where your quotes live

This single fact eliminates most of the market. If you raise quotes in Xero, you want something that reads Xero quotes. If you raise estimates in QuickBooks Online, you want something that reads estimates. If you quote from a job-management or field-service system, the follow-up feature inside that system — if it has one — will usually beat bolting on a separate tool, because it already knows the job status.

Tools that ask you to re-enter quotes somewhere else to chase them fail in practice, because nobody does the re-entering for long.

The five things worth evaluating

Check the vendor, not the review site

Pricing, integration coverage and feature lists in this category change often, and comparison articles go stale fast — including this one. Before you buy anything, open the vendor’s own pricing page and integration docs and confirm the current position yourself. If a tool’s site will not tell you plainly which accounting systems it reads, that is information too.

When you do not need a tool at all

If you send fewer than about five quotes a month, a recurring Friday calendar reminder and ten minutes is genuinely enough, and it is free. Software earns its place when the volume is high enough that the manual chase is the first thing to get dropped in a busy week — which for most trades is somewhere north of fifteen or twenty live quotes at a time.
