AI for accountants and bookkeepers, with client data kept safe

Short version: AI speeds up the repetitive parts of a practice, chasing, capture and drafting, but client data means you must choose tools carefully. Both are manageable.

Where it saves the most time

Chasing. Records, approvals and signatures chased automatically, in a tone that suits each client. Capture. Reading receipts and invoices into the ledger without rekeying. Drafting. First drafts of client emails, summaries and commentary. Reporting. Turning figures into plain-English notes clients actually read.

Keeping client data safe

Use business-tier tools that do not train on your data, keep a clear record of what is processed where, and sign the right agreements with clients. The ICO publishes practical guidance on AI and data protection: point yourself at ico.org.uk before anything touches client records.

The privacy-first option

For the most sensitive work, some firms keep AI entirely in-house so client data never leaves the building. That is a bigger step, but worth knowing it exists.

Start small

Pick one repetitive job, say record chasing, prove it on your own practice, then roll it out to clients.
