The best kinds of AI tools for UK small businesses

Short version: the specific product that wins changes every few months, so choose by category, not brand. Five categories cover almost everything a small business needs, and you probably already pay for one or two.

1. A general AI assistant

The workhorse: drafting emails, quotes and proposals, summarising documents, analysing a spreadsheet, writing product and marketing copy. Most owners get the fastest return here. Pick one, learn it well, and resist collecting five.

2. Automation glue

Tools that move information between your apps: a new web enquiry into your inbox and CRM, a new order into a spreadsheet, a reminder when something is overdue. This is where hours quietly disappear and where a little setup goes a long way.

3. Document and receipt capture

Software that reads supplier invoices, receipts and forms and drops the figures into your accounts, so nobody retypes them. For any business drowning in paperwork at month end, this alone can justify the whole exercise.

4. Website and messaging chat

An assistant on your website or WhatsApp that answers the common questions, opening hours, stock, delivery, do you do X, day and night, and hands the rest to you.

5. Booking and scheduling

Let customers book themselves into a diary that is always right, with reminders that cut no-shows. Simple, and often free with tools you already have.

How to choose

Match the category to your constraint (see where to start with AI), prefer tools that work with what you already use, and start with one. Avoid anything that locks your data in or that you cannot cancel.

Not sure which category your business needs first? Grafto's AI Tools Report picks the specific tools for your situation, with costs and setup times, from a short questionnaire: £59.99, in your inbox within minutes.
