Moving off spreadsheet pricing: a migration plan that takes an afternoon
Nobody chose spreadsheet pricing; it accreted. Leaving it feels risky because the spreadsheet is the only place the logic lives. So the migration starts by extracting the logic, not the numbers.
Step 1: find the real rules (1 hour)
Read the spreadsheet like an archaeologist. Most cells follow a rule — cost times something, RRP minus something — with a scatter of hand-set exceptions. Write down the rules per tier. The exceptions get a list of their own.
Step 2: set up tiers and formulas (1 hour)
Create your named tiers, point each at its formula, apply rounding. Sync your catalogue in and let the engine fill every price. Compare a sample against the spreadsheet — expect the formula output to disagree with hand-drifted cells, and decide which is right (usually the formula).
Step 3: re-apply true exceptions (1 hour)
Work the exceptions list through the grid's inline editing. Most "exceptions" turn out to be drift; the genuine ones — contract prices, honoured legacy rates — get set deliberately this time.
Step 4: retire the file
Push prices into Linnworks, export a copy of the old spreadsheet for the archive, and stop editing it. From now on the engine is the truth and the CSVs are messengers.
