How to use AI in a small UK business (without wasting money)
Short version: AI pays off in a small business when you point it at the admin that quietly eats your week, not when you chase whatever is in the headlines. Start with the job that hurts most, use tools you may already pay for, and measure the hours you get back.
What AI is genuinely good at
For a small UK business, today's AI earns its keep on repetitive writing and reading: drafting quotes and emails, summarising long documents, pulling answers out of spreadsheets, writing product copy and social posts, and answering the same customer questions over and over. Pair it with a little automation and it will move information between the apps you already use.
What it is not good at yet
It is not a replacement for judgement, and it will confidently invent things if you let it. Anything that goes to a customer or into your accounts needs a human glance. Treat it as a very fast junior, not an oracle.
Start with the constraint, not the tool
The mistake most owners make is shopping for tools first. Instead, ask one question: if your revenue doubled tomorrow, what part of the business would break first? That bottleneck is where AI is worth your attention. Fix the thing that is actually holding you back, not the thing with the shiniest demo.
Use what you already pay for
Before you add another monthly bill, check what is sitting unused in the tools you have. Your accounting software, your email and your website may already include AI features or automations. The cheapest win is the one you are already paying for.
Measure it in hours and pounds
Keep yourself honest: estimate the hours a change saves each week, multiply by what an hour of that person's time costs, and times by the weeks you actually work. If the sum is not obviously bigger than the tool's cost, move on to the next idea.
If you would rather not work all this out from scratch, that is exactly what Grafto's AI Tools Report does: answer a few questions about your business and get a costed, nine-slide plan, your biggest time-sinks, the tools to fix them and a four-day starter plan, in your inbox within minutes for £59.99.
